Raúl Gorrín: The best solution for increasing a business's productivity

By Raúl Gorrín. Growth that adds volume without improving productivity is fat. Growth that diminishes productivity is cancer. This is a quote from Peter Drucker. In an article from the Harvard Business Review there is a discussion of our changing world.

 Fifty years ago our parents and grandparents could not imagine the world we live in. The new world marked s shift to a knowledge society. Knowledge became  a more crucial economic resource that land, labor or financial assets. The best management decision would be one to invest in the education of its workforce. ( Raúl Gorrín)

The educated worker needs to be given autonomy and responsibility over his work and the quality of it.   A knowledgeable worker in a way needs to manage themselves.  Continuing innovation had to be part of their job, their task and responsibility.  Companies need to see an educated worker not as a cost to the company but as an asset. Drucker defined a knowledge worker as someone that knew more about his job than anyone else in the organization. 

Thomas Davenport wrote a book called 'Thinking for a living'. He spoke about the knowledge work as being an expert in their field in knowledge and in skill.  Professor  Davenport and other experts such as Dorothy Leonard, co-author or 'Deep smarts - how to cultivate and transfer essential business wisdom' disagreed on different methods for maximizing innovation and creative thinking among its knowledgeable workers. Their business philosophy was from hiring coaches to creating an atmosphere that would cultivate individual thought and creativity. 
On the other hand there, business experts such as Michael Hamner, co-author of 'Re-engineering the corporation ' took a totally different view in how to use the knowledge worker to maximize the productivity of the company. He believed that focusing on the productivity of the individual was misguided. The knowledge worker is to be thought of as part of the whole corporation and the system needs to be set up for greater interaction and cooperation and not on the individual autonomy of its thinkers. Looking for the best way to accomplish the productivity and effectiveness?. One way that successful managers keep their workers motivated is by utilizing effective goal-setting techniques. When employees are working toward something specific, be it the end of a project or a promotion/raise, they tend to work harder than they do when their output is monotonous. Here are a few tips on how to make small changes to the office setting, and to managerial practises – changes that can keep your employees goal-oriented and focused on the future.

Have bi-monthly meetings

Many companies have meetings with individual employees and managers scheduled every six months. Some even wait to do them once per year, or less often. However, by having these meetings every other month, you can keep your employees from feeling complacent in their work. When you’ve been working at a company for years, it’s easy to settle into a groove and allow your motivation to falter. Yet, if managers use these meetings to stress the importance of current assignments, and how employees may benefit from their success, it may be enough to get the team working harder than ever before. By showing employees what they have to gain from working hard, you’ll influence them to set their own goals, and that will increase their efficiency and productivity on a day-to-day basis.

Keep them focused on their career path

The career track at your company is something you should be transparent about, if possible. By keeping employees informed about opportunities for advancement – like the higher-up job positions available at your firm, the salaries they offer and the responsibilities they confer – you’ll be able to illustrate to your team the benefits that are obtained by those who excel. This will help to show them that success for your business directly breeds success for them personally, and that will help to get them striving toward specific goals. By allowing them to do so, you’ll have your team working with zeal once again.

Reign in focus by eliminating unnecessary tasks

Another way to help your employees stay focused is to eliminate as many time-consuming, redundant and unnecessary tasks as possible. At insurance organizations, many employees often find themselves chasing down integral pieces of information for hours on end, for example. By finding offshore, consultative partners who could help workers streamline and delegate this type of work, managers would be giving their employees a way to better focus on the tasks that more directly require their industry expertise.

An unfocused employee is often a stressed employee, and a stressed employee can never produce at the same level as one who’s feeling confident and focused about their professional future. Raúl Gorrín: The Best Productivity Apps for Business Success


Evernote: If you walk away from this article not having Evernote in your pockets, I will not be happy. Evernote is the best tool you will ever come across if you use it right you will gain huge benefits from it. Evernote provides a workspace that allows you to store your notes, information, documents, files, images and much more. It’s a great location for on the go reference information and also has powerful search features. Evernote is the best one of the productivity apps I use.

Todoist: Todoist is another super useful service that will allow you to manage your tasks throughout your day. Todoist is a very minimalist service with a great design across all the applications. You can create lists, email in tasks, colour code and manage tasks with friends or assign and delegate business colleagues. It’s a great app for immersion in task management and one of the best unknown productivity apps out there.

Sunrise: Sunrise is an opportunity to make your calendar look better on all your devices. This app takes your calendar, in my case Google Cal, and makes it beautiful, simple to interact with and syncs in real time effectively. It’s fantastic on web, iPhone and Android. 

Casual.PM: Casual Project Management is a great business tool that will simply allow you to be more visual and collaborative as a team. Working on a new project is hard and sometimes you lose strands as they fly off but Casual makes sure that everything is connected and visual so you always know whats going on.

Talon: Twitter is a key element for business success, the stock twitter application isn’t fantastic but Talon opens up a more productive and efficient output for your tweets. Things feel much more fluent and easier through this app, I’ve saved a lot of time using it to organize my business at events and on the go. It has a super neat design as well!

BufferApp: Again, you need to be on the go with your Twitter account and you need to be tweeting in your sleep. So how do you tweet in your sleep? Well, simply by using the Buffer app. It will help you to schedule your activities in all your networks like Facebook, Twitter, Google+, LinkedIn and more in advance. This is useful for when you are working on a service or even a product design and want to spread your awareness further on the web without doing all the real time work.

Wakie: For business success you need to be waking up with purpose. If your purpose is your business, you need to be woken up in the coolest way. Wakie is the coolest way to wake up. In summary, you hear the alarm, pick up the phone and someone from around the world is there to wake you up through voice call, they get 1 full minute to get you out of bed then they are shut off. With this app you can get some awesome people waking you up from anywhere in the world with no charges. 

Clean Master: When you have a mid-range smartphone, you need to keep everything smooth and clean. You will need to be productive throughout your day and if your phone is slow and laggy, it will kill your speed. Also you want to seem prepared to potential clients. With this app you can share something fast which makes all the difference.

Google Keep: This is great for quick lists in the office, whether they are shopping lists or short meeting notes. This is a good tool that Google provides directly on your phone or over the internet.

Hangouts: Get your texts and Gmail messages (Hangouts) all in one application. This is super useful when you’re getting lots of messages. Additionally video calls are the king on this. Raúl Gorrín: Productivity and efficiency in business


The need to ensure and enhance employee productivity is a reality no business can ignore. If you run a business you'll want to lean away from doing the mundane and routine when you can. However, it's inevitable that you'll encounter factors that may weaken or extinguish employee motivation and dampen productivity.

Obviously, you will need to mitigate these productivity-killers. The first thing to do is identify these factors, so you can consciously prevent them from emerging or aggravating. You should also be able to suppress them if they already exist. However, avoidance is not enough. A proactive stance is always preferable.

1. Get Rid of Motivation Killers
As mentioned earlier, there is a need to identify motivation killers in the workplace. A good manager will find ways to carefully observe the work environment in search of problem areas that adversely affect employee motivation. Typical motivation killers include toxic people, abrasive personalities, lack of organizational vision, absence of opportunities for professional development, poor communication systems, autocratic management styles, and the feeling of lack of appreciation. Addressing each of these requires a variety of approaches but there are ways to kill these motivation-killers.

2. Motivate through Gamification
Motivation is a very important factor in ensuring productivity. Unmotivated employees get bored especially when they are dealing with monotonous routines. Likewise, employees who lack motivation may not have the enthusiasm to complete challenging tasks. One effective way of motivating employees is through the use of gamification techniques. Tasks like completing reports or contributing ideas for projects and policy changes can be gamified to make them more appealing, exciting, or interesting.

Gamification involves the use of badges, rewards, leader boards or rankings, points, challenges, and other game elements to make repetitive and quantifiable tasks more engaging. 3. Set Clear Goals and Provide Feedback

Additionally, it is important to provide feedback or show that employees are being supervised. Accomplishments should be acknowledged, while errors or failures in meeting targets should be promptly addressed. Good management practices can enhance and help maintain employee productivity.

4. Use Technology Responsibly
Refusing to leverage technology could be considered a grave mistake for any business. There are many technologies that significantly increase productivity in a workplace. To emphasize, using technology is not just about having computers and an Internet connection in the office. It's also important to study and utilize different hardware and software solutions that can improve employee productivity.

Collaborative applications like Asana can be very effective in making employees more productive, especially for organizations with geographically-distributed setups. Some employees do better if they are allowed to work in locations they find more comfortable, such as their homes. In other cases, travel is simply too expensive or time-consuming, and telecommuting, remote working or even co-working are viable options.

Increased mobility can break down barriers to productivity. Mobile devices enable access to communication and collaboration tools, as well as work-related documents and information. It is important, however, to prevent overly thinning the line between personal and professional lives. Work-life balance should be respected.

5. Set Standards and Provide Skills Development
In every business, it is important to establish standards. Employees should be familiar with what the company expects from them. They need to know what they should be doing as well as their assigned roles. Without clear or explicit expectations, people tend to find excuses when they fail to achieve targets. Be clear at the outset: define what you expect of everyone, and how you expect people to perform their assigned tasks and responsibilities.

Moreover, address the aspirational needs of employees by providing opportunities for developing skills or advancing professionally. Management should expect every employee to seek challenges, and to not want to be stagnant. It's not enough that they have mastered the skills needed to efficiently accomplish their current assignments. Let your employees realize that there are other things they can do, so that they can progress to higher positions. If you don't help employees develop professionally, that may become motivation for them to seek a new company.

6. Communicate Effectively and Efficiently
Communication, without a doubt, is a crucial aspect of business operations. Without an effective system of communication in place, you will have difficulty in achieving goals and even in functioning properly. Communication here, by the way, is not just the simple use of devices, such as phones or verbal and written exchanges of information. It is about designing and using communication systems that are appropriate for the needs of a business or company.

Effective and efficient communication means that employees should know the hierarchy and expertise within the company. They should know who to reach out to regarding their concerns.

In terms of tools, take advantage of modern platforms and applications available. Enterprise social networking tools such as Yammer make it easier for employees to contribute to institutional knowledge and help colleagues with onboarding. Cloud-based office suites like Office 365 help contribute to a culture of sharing and helping across the enterprise.

Maintaining and enhancing productivity in the workplace is not always very easy to accomplish but it can also be boiled down to some simple concepts. Here are three key things to remember: the need for employee motivation, the proactive involvement of managers, and the use of technologies and systems that greatly help employees in doing their work more efficiently.
